By signing and submitting a booking form, the named person on the booking form agrees on behalf of its organisation (and all persons detailed on the booking) that:
- he/she has read these Terms and Conditions, and those on the booking form, and (a) has the authority to bind the organisation and (b) the organisation does agree to be bound by them.
- he/she consents to our use of personal data in accordance with our Privacy Policy and the organisation is authorised on behalf of all persons named on the booking to disclose their personal details to us
- he/she is over 18 years of age
- the organisation (or if booking as an individual, he/she) accepts financial responsibility for payment of the booking for all persons detailed on the booking
You can make a provisional bookings in advance of a booking form being completed.
When you send a completed booking form we will send you written confirmation and a request for the 10% booking fee (if not already provided).
If you give us 21 days notice, we will refund the booking fee.
You should let us know final numbers at least 14 days before the first date of your booking. If we do not receive final numbers we will invoice based on the number you provided in the booking form.
If you wish to amend your booking please contact us as soon as possible. We will do our best to make any amendments, but this cannot be guaranteed.
We will issue you with an Invoice after the booking period. You should pay the invoice within 30 days.
Please note that the Buckinghamshire Scout’s County Office is not open on a Friday; please deal with any queries relating to your booking Monday to Thursday.
Please tell anyone driving to Braid Wood that directions given on navigation devices can be incorrect and vehicles could end up on a bridleway.
Do not drive larger minibuses or coaches through Asheridge. You should instruct drivers to travel via Bellingdon.
You should not drop people off or collect them on the roadside or at neighbouring driveways, drivers should be directed to the entrance of the campsite.
You should park in the designated car parking areas.
Two accessible parking bays are provided for those with access needs. Do not park in these parking bays unless you or a passenger needs this facility.
Please ensure no personal belongings are left on view in vehicles.
Please familiarise yourself with site rules in this document and on site noticeboards which you should make yourself aware of when arriving on site. By signing this document you agree to abide by the site rules at all times.
You should tell all members of your group:
- To keep to public footpaths
- Not to wander into neighbouring fields, enter farms or feed any farm animals including horses.
- To minimise disturbance to other guests and neighbours.
- To observe the campsite’s overnight quiet time (10pm to 7am)
- You agree to abide by The Scouts’ Safety and Safeguarding polices. Copies of this information (Policy, Organisation and Rules 2.4 and 2.5) are available on the Scout website and on request and it is your obligation to ensure this is read and understood prior to arrival. These policies are referred to in the booking form
Scout bookings must follow the Code of Behaviour in the Yellow card (Young people first).
You must have your own suitable and sufficient risk assessments for your camp and the activities you are doing. Buckinghamshire Scouts reserves the right to ask you to stop any activities.
Risk assessments should include assessing additional needs. You or a responsible adult in your group must know the specific health and medical needs of your group members.
You must have an evacuation plan in place for your group, with Personal Emergency Evacuation Plans (PEEPs) in place for anyone with additional needs.
If you plan to light a fire, you should have a risk assessment for fire lighting and review this on each occasion. Buckinghamshire Scouts will assess especially hot weather and inform users if fires are not permitted at any time.
Please note that the site is not fully staffed or serviced.
You should report issues with the buildings or site facilities as soon as possible to our County Office or via THIS FORM.
If hiring the Frost building please be aware there is limited catering and cooking equipment. You are advised to bring your own.
Some first aid supplies can be found in the buildings and there is a defibrillator and bleed kit attached to the Schofield building. However, you should bring sufficient first aid equipment for your own needs.
If there is a fire or first aid emergency contact the emergency services immediately on 999. You can give them the location of the site as HERE
Any urgent issues on site or with facilities should be reported to us on 07010 042077.
You should report to our County Office within 48 hours of an emergency if:
- You have called the emergency services or taken someone to casualty
- You have had a safeguarding concern
- Someone in your party has had an accident, or nearly had an accident, for a reason that relates to our site facilities. You do not need to report minor injuries such as splinters or grazes from falls if no medical assistance has been needed, and the incident doesn’t relate to site facilities.
You should make sure that your group leave the campsite, woodlands and buildings in a clean and tidy condition.
Please place all litter in the rubbish bins provided and take your recycling waste away with you so that it can be disposed of responsibly.
